Set up automated emails that introduce your clients to the FlexPoint portal.
How Onboarding Sequences Work
Onboarding Sequences are a short series of automated emails sent to your clients in the weeks around your FlexPoint launch. These emails prepare them for the transition by explaining what's changing, when it's happening, and what they need to do to get started.
Sequence 1
Announces the coming change and includes bank details clients may need to set up in advance.
Sequence 2
Confirms the portal is live and explains how to log in.
Sequence 3
Reminds clients who haven't logged in yet.
Select your "Go-live" date
Your go-live date is the day you choose to start sending invoices and payment requests to your clients through FlexPoint. Every sequence is scheduled around this date. It defaults to 30 days after your account was created.
Portal users are enrolled automatically
Every portal user on your account receives each active sequence on schedule. There's no separate list to build or enrollment step.
Every send is logged
The Email Log records every onboarding email FlexPoint sends, including the recipient, company, date, and sequence.
Onboarding is available during your launch period only
Through 30 days after go-live. You have full access to edit your sequences, timing, templates, and go-live date.
The next 14 days. Onboarding becomes read-only. You can view your sequences and Email Log, but not edit them.
After that. Onboarding is removed from your navigation.

Set Up Your Onboarding Sequences
Follow the steps below to prepare your sequences before your first automated email is sent.
STEP 1Open Onboarding›
From the left-hand navigation, go to Customers → Onboarding.
You'll land on four tabs:
STEP 2Set Your Target Go-Live Date›
Open the Settings tab and confirm your Target Go-Live Date. This is the day your clients start receiving invoices and payment requests through the FlexPoint portal.
Your Target Go-Live Date defaults to 30 days after your account was created. If your actual launch date is different, update it before doing anything else.
You can change your go-live date at any time while Onboarding is active. FlexPoint reschedules every upcoming send automatically, and skips any send window that has already passed.
Once your account enters the read-only window, the date is locked.
STEP 3Review Your Sequence Schedule›
On the Settings tab, you'll see your sequences listed as cards. Each sequence displays its timing, template, and repeat settings.
Each Onboarding email template you create in FlexPoint acts as its own sequence, with its own timing, recurrence, and on/off control. You can think of each one as a 'stage' in your client onboarding plan.
Sequence settings you can change
Number of days
Choose how far before or after go-live the sequence starts.
Timing
Choose whether the sequence runs before go-live or after go-live. To send on launch day itself, set the timing to before go-live and the number of days to 0.
Repeat interval
Choose how often the email repeats. Set the interval to 0 to send it only once.
On / Off
Turn a sequence off without deleting it.
- The final after-go-live sequence is capped at 5 emails total.
- Other sequences naturally stop when the next sequence begins.
- Sequences automatically sort themselves by day count when you save.
- You can't delete your last remaining sequence. Turn it off instead.
STEP 4Rename Your Sequences (Recommended)›
Your sequences arrive named Sequence 1, Sequence 2, and Sequence 3. Renaming them to something meaningful, such as Two weeks out, Launch day, or Final reminder, makes your schedule easier to scan and easier for your team to pick up.
- Click the pencil icon next to the sequence name.
- Enter a new name, such as Two weeks out, Launch day, or Final reminder.
- Click Save.
Renaming a sequence updates its name everywhere, including the Email Log, Recipients tab, and Manual Send window.
STEP 5Add a Sequence›
Want to send additional onboarding messages? You can add another sequence and choose when it should run.
New sequences copy their design from the sequence directly before them. You can then update the wording for the new message.
STEP 6Review and Edit Your Email Templates›
Open the Email Templates tab. Each sequence has its own template in the sidebar.
FlexPoint provides pre-written subject lines and email copy for each stage of your launch. Review the templates before your first send and adjust them to fit your communication style.
Edit a template
- Select a template from the sidebar.
- Edit the Subject line. Subject lines are plain text and don't support personalization variables.
- Edit the email body using the drag-and-drop editor.
- Add, remove, or reorder content blocks as needed.
- Click Save.
Reset to Saved
Discard unsaved changes and return to your last saved version.
Reset to Default
Return the template to FlexPoint's original version.
STEP 7Check Your Recipients›
Open the Recipients tab to see every portal user who will receive your onboarding sequences.
The list includes each person's name, email address, and company.
All portal users are enrolled automatically. Use the search box to spot-check your contacts before your first send.
If someone is missing, add them as a portal user first. They'll then be picked up automatically by the onboarding sequences.
STEP 8Send an Email Manually›
Need to send an onboarding email to a specific client immediately? Use Manual send.
This is useful for a new client joining during your launch or someone who says they never received an onboarding email.
- On the Recipients tab, select one or more recipients.
- Click Manual send in the toolbar.
- Choose the sequence you want to send.
- Review the recipients, subject line, and email preview.
- Edit the subject line if needed. This only changes the subject for the manual send and doesn't change your saved template.
- Click Send.
The preview shows an example rendered for one recipient. Everyone on the list receives their own personalized version.
Manual sends appear in the Email Log alongside automatic sends.
STEP 9Confirm Your Emails Are Going Out›
Once your first sequence has run, open the Email Log tab.
You'll see the date, recipient, company, and sequence name for every onboarding email sent.
Search
Search for a specific email address.
Filter
Filter the log by sequence to see everything sent from one sequence.
Download
Download the log if you need a record outside FlexPoint.
The Email Log displays: "No emails sent yet. Once your sequence is active, you'll see a record of every email sent via the sequence here."

Do I have to set up Onboarding Sequences? ›
No. Your three sequences are already built and scheduled. Confirm your go-live date, review the wording, and you're ready to go.
Can I turn Onboarding Sequences off? ›
Yes. You can turn off individual sequences using the toggle on the Settings tab. You can also turn all sequences off if you'd rather handle onboarding outreach yourself.
Can I send an email on my go-live date itself? ›
Yes. The timing dropdown offers before go-live and after go-live. To send on launch day, set the timing to before go-live and the number of days to 0.
What happens if I move my go-live date? ›
Every future send is automatically rescheduled based on your new Target Go-Live Date. Emails whose send window has already passed are skipped rather than sent late.
Who receives these emails? ›
Every portal user on your account is automatically enrolled in active onboarding sequences.
Where can I see which onboarding emails were sent? ›
Open the Email Log tab under Onboarding. The log includes the date, recipient, company, and sequence associated with each send.
Do onboarding emails appear in my Notifications log? ›
No. Onboarding emails have their own Email Log under Onboarding.
Why is Onboarding disappearing from my navigation? ›
Onboarding Sequences are designed for your launch period. 30 days after your go-live date, the feature becomes read-only. Two weeks after that, Onboarding is removed from your navigation.
Your Email Log remains available during the read-only period. If you need more time, contact FlexPoint Support.
Are Onboarding Sequences the same as the Client Onboarding Form? ›
No. The Client Onboarding Form collects payment details from brand-new clients. Onboarding Sequences are automated announcement emails sent to existing portal users during your FlexPoint launch.
